
Traditional employee onboarding represents repetitive and time-consuming procedures, including walking new employees through paperwork, coordinating orientation schedules, and setting up training materials. These areas are usually inefficient and inconsistent.
This project will aim to develop an automated onboarding process for the company while integrating with current HR platforms to provide a more efficient experience for new employees and less administrative overhead for the HR teams.
Week 1-2: Preliminary planning and process analysis
Activities: Identifying what aspects of the onboarding processes should be automated, setting objectives, and mapping the workflows
Deliverables: Process maps and the project charter.
Week 3-4: Design of workflows and toolset identification
Activities: Design the automation workflow and make a choice about the RPA tool.
Delivery: Workflow designs and configuration plans for the RPA tool of choice.
Week 5-6: System development and configuration.
Activities: RPA bot to be developed and configured for onboardings and integrations with the HRIS system and IT platforms.
Delivery: Configured, functional RPA bots for the onboarding Week 7-8: Integration and testing
Activities: Integration of RPA system and HR and IT platforms, carrying out testing based on accuracy and adherence.
Delivery: Fully integrated systems and validated test reports.
Week 9-10: Training and Documentation
Activities: Train HR personnel on the use of the system and prepare comprehensive user documentation.
Deliverables: Training sessions, user manuals, and technical documentation.
Week 11-12: Deployment and Post-Implementation Support
Activities: Deploy the automated onboarding system and monitor its performance.
Deliverables: Deployed system and a post-implementation support plan.
